• Messages and mentions within Slack channels where FocuslyAI is active, to help categorize and prioritize notifications.

2. Data Retention and Deletion

FocuslyAI retains data only as long as the bot is active within a Slack workspace. Once the bot is removed or deleted by the workspace, all associated data will be permanently deleted within five (5) business days.

3. Data Removal

Users or workspace admins can request the deletion of their data by contacting us at support@focuslyai.com. Data will be permanently deleted from our records within five (5) business days of the request.

4. Data Storage Policy

We store only the minimum necessary data required for the app to function effectively. This includes caching some Slack responses to improve performance and reduce redundant API calls.

5. Data Hosting and Location

FocuslyAI hosts data on secure servers managed by AWS, with data physically located in Singapore to meet data residency requirements.

6. Use of AI and Large Language Models

FocuslyAI uses OpenAI's API to categorize and prioritize Slack notifications. This service enables us to identify notifications that are actionable (e.g., TODOs) versus informational.

7. LLM Data Tenancy and Residency

All data processed by OpenAI is handled per OpenAI's data use and residency policies. No personal data is stored or retained permanently on OpenAI's servers beyond temporary processing.

8. Data Security

We take appropriate measures to protect your data:

• Access is restricted to authorized personnel only.
• All data transfers are encrypted to protect against unauthorized access.
• Our data storage complies with security best practices to prevent unauthorized access and data leaks.

9. Third-Party Services

FocuslyAI relies on third-party services, including:

• OpenAI for natural language processing and categorization.
• AWS for secure data storage and hosting.
